What You’ll Do:

Organize & Optimize:

  • Manage advisor calendars, prioritize scheduling, and ensure no detail is missed.
  • Take the lead on inbox management, responding to key communications and keeping everything streamlined.
  • Prepare materials and handle logistics for client meetings, ensuring a polished and professional experience.

Tech & Systems Savvy:

  • Use our CRM to maintain accurate client records and develop strategies for personalized outreach.
  • Handle data tracking, license renewals, and light bookkeeping (QuickBooks) to keep operations smooth.

Client-Centric Approach:

  • Be the friendly and knowledgeable first point of contact for clients, setting the tone for our relationship.
  • Organize personalized client communications, including birthday cards and milestone celebrations.
  • Support advisor-client interactions by scheduling follow-up appointments and gathering necessary information.

What We’re Looking For:

  • 5+ years of executive support experience, ideally in financial services or a related field.
  • A proactive mindset with a knack for solving problems and anticipating needs.
  • Strong tech skills—comfortable navigating CRMs, Microsoft Office, and virtual platforms like Zoom.
  • Excellent communication skills, with the ability to adapt to different client personalities.
  • Ability to work efficiently across two office locations and maintain high productivity
  • A positive, team-oriented attitude with a desire to continuously learn and grow.
